Purposes and legal bases
We process your details to respond to enquiries, maintain contacts, discuss invitations and collaboration, and arrange, provide and account for agreed activities and business transactions.
- Enquiries relating to a contract with you and performance of that contract: Article 6(1)(b) GDPR.
- Communication with representatives of churches, organisations or businesses, and other enquiries: Article 6(1)(f) GDPR. Our legitimate interests are dealing with enquiries, organising collaboration and maintaining existing contacts.
- Statutory documentation and retention obligations: Article 6(1)(c) GDPR.
- Regular updates and invitations by email: where consent is required, only with that consent (Article 6(1)(a) GDPR). A single enquiry is not treated as general agreement to receive marketing messages.
Personal data we process
Depending on your contact with us, this may include your name, organisation, role, postal address, email address, telephone number, message content and, where applicable, quotation, project, contract, invoice and payment information, together with technical communication data. We generally obtain this information from you; in organisational contacts we may also receive it from the organisation concerned.
Which information is needed depends on your enquiry. If necessary details are not supplied, we may be unable to respond or arrange the collaboration as requested.
Recipients, service providers and international transfers
Access is limited to responsible board members and authorised staff. Where necessary for the matter concerned, information may be shared with collaboration partners, tax advisers, banks, authorities and the IT and communications providers we use.
Microsoft 365
We use Microsoft 365 for email, file management and collaboration, including Outlook, Teams and OneDrive. According to our documented arrangements, a data processing agreement is in place with Microsoft and the West Europe region is designated for our data. Certain access to or transfers of data to countries outside the European Economic Area, in particular the United States, may nevertheless occur. Where such transfers take place, the applicable transfer mechanism may include an adequacy decision under Article 45 GDPR (such as the EU–US Data Privacy Framework for appropriately certified recipients) or the EU Standard Contractual Clauses under Article 46 GDPR, subject to the relevant requirements. You can request information about the safeguards applicable to a particular transfer using our data protection contact address. For further information, see Microsoft.
Retention
We delete enquiries and correspondence once no longer necessary for responding and for our legitimate purposes. Where they form part of contracts, accounting or tax records, German law generally requires retention for six, eight or ten years depending on the type of document (Section 147 of the German Fiscal Code, Abgabenordnung). Longer retention may be necessary in individual cases to establish or defend claims or comply with other legal duties.
Particularly confidential information
You do not need to disclose information about your faith, health or other particularly sensitive circumstances in order to make a general enquiry. Please avoid sending especially confidential prayer or personal matters to our general contact addresses; instead, ask us for a suitable direct communication channel.
As a rule, we do not retain records of sensitive discussions from personal prayer or pastoral care. Where prayer requests are to be shared with an intercessory prayer team, a designated trusted contact person handles them: names and other identifying details are removed wherever possible and only a generalised version is shared. Original messages and temporary notes are deleted or destroyed promptly after preparation; any remaining pseudonymised requests are deleted after a short period defined in our internal retention rules. Where the information can still be linked to an individual, we also observe the requirements of Article 9 GDPR for special categories of personal data.
Your rights
Subject to the applicable legal conditions, you have the right of access (Article 15 GDPR), rectification (Article 16), erasure (Article 17), restriction of processing (Article 18), data portability (Article 20) and objection (Article 21). You may object to processing based on legitimate interests on grounds relating to your particular situation; you may object to the use of your data for direct marketing at any time.
You may withdraw consent at any time with effect for the future (Article 7(3) GDPR). This does not affect the lawfulness of processing carried out before withdrawal. You may lodge a complaint with a data protection supervisory authority, including the State Commissioner for Data Protection and Freedom of Information of Baden-Württemberg (Article 77 GDPR).
To exercise your rights, email datenschutz@e4j.org.
Further information
Unencrypted email may involve confidentiality risks. Please provide particularly sensitive information only where necessary, or ask us about a suitable means of transmission. We do not retain your details indefinitely merely because you send us an email.
